As a Project Administrative Assistant on our team in Arlington, Virginia, you will perform a wide variety of administrative and staff project support services. This includes assisting with project deliverables coordination, scheduling meetings, organizing itineraries and safety briefings for overseas travel, and project calendar maintenance. You may also support the team by maintaining and tracking databases, preparing reports, budgets, and financials. Your strong organizational skills and ability to communicate with staff at all levels – both orally and in writing - will help meet project objectives.

This position requires regularly commuting to our office at 1100 North Glebe Road in Arlington, VA, up to four days per week.

Duties and Responsibilities:

  • Coordinate project deliverables (e.g. copying, binding, boxing and deliveries).

  • Provide document control services. Organize and maintain document accountability records, destroying material when no longer required. Maintain a neat and orderly work area.

  • Assist project managers with updating overall project delivery schedule.

  • Order office and print supplies.

  • Make itineraries, flight arrangements and coordinate travel Visas for various teams.

Here’s what you’ll need :

  • Must have or be able to obtain and maintain a Secret level security clearance.

  • United States Citizenship.

  • At least two years of college level coursework or equivalent. 

  • At least 5 years of administrative experience within a business enterprise. 

  • Proficient computer skills in MS Office Suite: Word, Excel, Outlook, PowerPoint & Teams.

  • Excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. 

Ideally, you will also have: 

  • Four-year college degree.  

  • Experience working with project managers and government client representatives.
