Your Impact:

We’re seeking an Executive Assistant to join our team. You’ll have the opportunity to use your vast experience and apply it to solving today’s challenges. This energetic individual with initiative and detail-orientation is needed for high-volume, high visibility administrative position to support management team.

Ideal candidate should have flexibility to handle administrative functions such as travel, expenses, schedule, and other support as needed, and multi-task concurrent activities. Have a comprehensive knowledge of administrative procedures and processes, and function with a fair degree of independence. Must be a team player and have a positive attitude. Significant use of Excel and PowerPoint a must, as well as database processing/maintenance capabilities. Duties may involve providing support to senior level executives, or 3-5 person leadership team. Ability to perform duties in the Executive Admin role.

Technical/Functional Responsibilities:

  • Compiles internet research, reviews, and analyzes data: May design processes to enhance work flow

  • Research travel options and make travel arrangements

  • Manage complex calendars in MS Outlook

  • Excellent PC skills using a variety of software products as well as strong administrative and business operations knowledge

  • Performs a variety of administrative/clerical support tasks for client support initiatives

  • Gathers, compiles, tracks and reports on information relevant to business development activities

  • Sets up and maintains files, refers callers, arranges meetings, receives, refers and answers inquires

  • Reviews draft documents

  • Tracks and processes submittals, daily reports, correspondence, invoices, meeting minutes, monthly reports, etc.

  • Uses computer to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations.

  • SharePoint experience a plus

  • Ability to grasp and utilize Jacobs internal systems,

  • Knowledgeable about federal market intelligence tools such as FPDS, FBO, BGov and GovWin

  • Must have the ability to interact with all levels of management and staff

Here’s What You’ll Need:

  • At least 10 years of executive office support; specialized training or education may be substituted for part of the experience

  • At least 5 years of professional work experience with Microsoft Office Suite

Ideally, you’ll also have:

  • Previous experience employment within an engineering, architectural, or construction company with similar job responsibilities

  • Familiarity with Concur and SalesForce
