Reporting to the Program Controls Manager, this is a site based position that interacts directly with the entire project team. This role is responsible for adherence to client’s purchasing policy. This role also ensures that document controls processes and procedures are in place according to the dynamic needs the Program.
Manage, recommend, direct, coordinate, and organize documents within Program Management Software.
Direct the planning, monitoring, and control of storage of documents for the program.
Communicate information to teams about document locations/processes.
Monitor RFIs/Submittals/Punchlist and other project communications for correct processes.
Maintain document templates with Program Management Software.
Audit documents within Program Management Software.
Enforce documentation standards with all program partners, including Architects/Engineers, Contractors, and owner’s consultants.
Leads training for users of Program Management Software.
Assist the design management team by managing the documentation of design review process using Bluebeam to organize and track design deliverables.
Work with project teams to ensure alignment and consistency of data
Work with Project Teams to understand and resolve issues and concerns affecting project communication/processes.
Work with Project Teams to identify and understand issues and concerns affecting Program performance and help provide resolution of documentation processes
Accountable for direction, co-ordination and integration of Program Documentation
Provide direct contribution to the daily management of document controls.
Manage documentation during design, construction, and closeout phases of projects.
Assist in the approval of task orders and integration of this information in Program Management software and clients accounting system.
Review vendor proposals for compliance with the client’s procurement policies.
Communicate change order information to client’s contracting department and verify correct information input from client’s contracting department.
Ensures that items and services are purchased according to the clients purchasing policy.
Bachelors of Science in Engineering, Construction Management, Architecture or equivalent experience is required
Strong computer software skills within the Microsoft Suite of tools (specifically Excel, Word, Outlook) and Adobe Acrobat is required
4 – 6 years of experience as a Document Controller is preferred
Very strong comfort level inside the entire Microsoft Office suite of tools is required
Strong organization skills in both the virtual and physical environment is required
Ability to work in a team is required
Strong communication skills and understanding of technical terminology is preferred
