Administrative Assistant


The Administrative Assistant must have excellentmulti-tasking skills, a keen attention to detail, and the ability to work wellunder pressure and make deadlines. Theselected candidate will have a number or responsibilities that will directlyimpact a large number of colleagues, such as:

  • Coordinating employee on- and off-boarding activities,including all paperwork needed for badges, hardware, and email accounts

  • Coordinating the user provisioning process for adding,modifying, and removing users in multiple online systems

  • Answering phones and monitoring email boxes and theticket queue

  • Performing ticket triage for the PRISM Help Desk androuting requests to the proper teams/people

  • Compiling meeting minutes

  • Maintaining office supplies

The successful candidate is required to have a strongability to handle many requirements and requests at once, and communicateclearly and effectively with both end-users and technical support staff. Strong organizational skills are a must. The following skills are preferred:

  • Ability to work both independently as well as within ateam

  • Ability to follow directions, take ownership of work,and meet deliverables/deadlines

  • Ability to adhere to Service Level Agreements (SLA)

  • Experience with Microsoft Office, including Outlook,Word, and Excel

  • Experience with fillable Adobe Acrobat forms

  • Experience performing data entry tasks


This position requires 2 year of related clerical experience.The selected candidate must be able to obtain and maintain a Public Trustclearance.

Essential Functions

Physical Requirements

Requires sitting for extended periods of time at a desk(90%). Requires sitting at a computer terminal for long periods of time (90%).There is a possibility that due to parking availability and location of workarea walking moderate to long distances can sometimes be required.

Work Environment

Inside office/cubicle environment. Requires ability tointeract professionally with co-workers and all levels of management (100%).

Equipment and Machines

Requires ability to operate a personal computer, atelephone, copier, and other general office equipment (100%). Ability toconduct evaluation of third and fourth generation or current state of the artcomputer hardware and software and its ability to support specificrequirements, interfacing with other equipment and systems.


Attendance is critical. Work hours are normally 8 hoursper day and 5 days per week, Monday through Friday. Being prompt is importantto provide continuous and on-going service to customers. Attendance is importantto maintain continuity of service. Work outside of normal duty hours may berequired with as little as one hour advance notice. Overtime is infrequent, butimportant when required (1%).

Other Essential Functions

Must be able to communicate effectively, both verballyand in writing. Must be able to interface with individuals at all levels of theorganization. Must be able to obtain unescorted access to work areas. Groomingand dress must be appropriate for the position and must not impose a safety risk/hazardto the employee or others.

The selected candidate must be able to obtain andmaintain a Public Trust clearance.
