Jacobs provides technical, engineering and integration support to the research, development, acquisition, test and evaluation of virtually all U.S. Air Force air-launched weapon systems, test and training range systems, and numerous air combat support systems. We provide support to programs in all phases of the acquisition cycle, ranging from basic research and technology development to deployment and sustainment.

We are seeking a qualified Administrative Specialist to support the 53rd Wing Technical Support Services contract and provide outstanding administrative specialist support. Administrative support includes (but is not limited to) preparing finalized advanced program documentation, maintaining and coordinating conference room schedules and video teleconferencing scheduling/meetings, meeting minutes, action item tracking, and other government support functions. Position will be located at Eglin AFB, FL.

The individual will be working in a fast-paced and highly technical area that requires a strong work ethic and attention to detail. Duties will include:

  • Develop meeting agendas, notifications, and post-meeting minutes to include establishing and modifying Microsoft Word templates, as needed.

  • Oversee 8-12 high priority meetings per week and document significant meeting activities/discussions such as capture commander-directed action items and program manager communications.

  • Ensuring proper portion classification of all documents created and/or provided for review.

  • Ensures appropriate storage of classified material.

  • Upload and distribute meeting agendas, notifications, and minutes to local USAF organizations and and other/external DoD components.

  • Review and file incoming and outgoing correspondence, materials, publications, regulations, and directives.

Qualifications

Education:

Requires 2 years of college with courses in business administration, computer science, or industrial management, and 3 years progressive experience, or any equivalent combination of relevant education and experience.

An Associate Degree in a related administrative career field is highly desired.

Required Experience:

  • TS/SCI desired at time of hire.

  • 3-5 years direct experience providing administrative services and/or unit budget activities and related support

  • Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint

Essential Functions

Work Environment

Office setting that includes sedentary physical effort. However, may include lifting of weight up to thirty (30) pounds as necessary. Must be able to work well with co-workers and all levels of management. No hazards on job or unusual environmental conditions. Work site is located at Eglin AFB, Florida. Periodic travel may be required to include both continental US and/or overseas locations.

Physical Requirements

Work may involve sitting or standing for extended periods of time. Position may require typing, and reading from a computer screen. Must have sufficient mobility, including but not limited to bending, reaching, and kneeling to complete daily duties in a timely and efficient manner. There is a possibility that due to parking availability and location of work, walking moderate to long distance may be required.

Equipment and Machines

Ability to operate office equipment such as personal computer, printer, copy machine, telephone, fax machine and other equipment including desk supplies and other work related tools as required.

Attendance

Monday-Friday 7:30 a.m. - 4:30 p.m. Regular attendance of scheduled hours is extremely important, but not critical, except for deadlines and meetings. Punctuality and regular attendance are necessary to meet deadlines. Must exhibit flexibility of work hours to adjust to surge situations based on critical mission requirements; this may include the individual being required to work extended hours over and above normal duty hours.

Other Essential Functions

Must demonstrate professional behavior at all times when dealing with customers, management and co-workers. Must have clear, concise and accurate communications skills in English, both verbal and written. Grooming and dress must be appropriate for the position and must not impose a safety risk to employees or others. Must maintain a positive work atmosphere by behaving and communicating in a professional manner. Independent personal transportation to work site is required. Travel to and from customer's locations may be required to support projects. This may involve airline travel. In some cases, accommodations can possibly be made for POV, if necessary. When operating any vehicle for work purposes, must wear seat belt and in addition, no cellular devices are to be used when vehicle is in motion.
