Jacobs Facilities Support / Receptionist in Exeter, United Kingdom

Your Impact:

Jacobs are recruiting for an individual to support day-to-day operations of facilities services and activities within our Exeter office. The facility support function consists of a variety of roles in support of daily operations and may include reception, mailroom, general facility operations, maintenance or driver.

The successful individual will be expected to perform some or all of the following tasks:

  • Meet and greet all visitors and contractors, ensuring all adhere to correct signing in and visitor induction procedures.

  • Answer all telephone calls in a timely, professional manner, directing calls as necessary and/or taking messages

  • Manage the distribution and tracking of visitor and staff building access passes and liaise with Building Security.

  • Excellent awareness of and input into local emergency procedures such as fire evacuation, first aid etc.

  • Manage online meeting room booking system and car park booking system.

  • Ensure meetings rooms are presentable and ready for meetings.

  • Ordering and maintaining Office Supplies/Stationery cupboards and Kitchen supplies.

  • Arrange lunches/refreshments for business meetings.

  • Handle incoming and outgoing post and courier collections.

  • Support office health and safety activities as needed. May choose to serve as First Aider & Fire Marshall.

  • Upkeep of the Office notice boards (displaying health, safety and environment notices, checking policies and insurances are up to date).

  • General assistance to Facilities Lead as required e.g. help with facilities upkeep and maintenance, liaise with the landlord and contractors when things are in need of repair, invoice processing, quarterly environmental and sustainability reporting, project archiving, annual audit preparation etc.

Here’s What You’ll Need:


  • Proven customer service skills and experience.

  • Excellent attention to detail and accuracy.

  • Excellent co-ordination and organisational skills.

  • Good knowledge of Microsoft Office applications: Word, Excel, Powerpoint and ability to learn new internal systems.

  • Ability to communicate well both orally and in writing, with staff at all levels.

  • Self-motivated with a positive approach to tasks.

  • Proactive approach to self-development, which will include formal and experienced related training.


  • Experience in Health & Safety procedures.

  • IOSH certificate.
