NOTE: This position will be assignment/site based and could be at any work location along the Gulf Coast Region. Candidate must be willing to travel.

Responsibilities:

  • This position fully supports and reports daily to the Subcontracts Administrator in all efforts to manage the assigned subcontracts.

  • The candidate for this position will possess the ability to work well with others across departments and will have excellent written and verbal communication skills.

  • This person must have past experience in invoice auditing and is able to effectively resolve audit findings on subcontract invoices.

  • The candidate must be detailed oriented, flexible and able to multi task and have a focused approach to meeting deadlines.

  • The candidate will be responsible and accountable for their work product and should be fully willing and eager to learn.

  • The candidate will possess strong organizational skills, particularly as it relates to managing large amounts of data.

  • Responsible for organizing and arranging all required meetings to support the Subcontract Administrator.

  • Responsible for attending, recording, publishing and filing minutes from meetings.

  • Assist in the oversight of the subcontractors’ equipment logs and material purchases.

  • Receive, file and ensure renewal of the subcontractors’ insurance certificates.

  • Responsible for securing subcontractors’ deliverables for pre-mobilization, weekly meetings, change-management, claims etc. activities.

  • Provides support on all documented correspondence.

  • Responsible for the oversight of the subcontract change management process.

  • Responsible for the proper subcontract document filing (hard copy and electronic).

  • Manage Daily Labor Reports.

  • Facilitates subcontractors’ performance evaluations upon completion of their scope.

  • Facilitates obtaining the subcontractors’ confirmation of completion and close out.

  • Responsible for archiving all subcontracts administration files at the end of the project.

Qualifications

  • The candidate will have 3-5 years in the construction industry and will have field subcontracts experience.

  • Must be proficient and have working knowledge of Excel, Word and Outlook.

  • Four year degree in Construction Management, Business Administration (or related field) is a plus, however related experience is accepted in lieu of education.

  • Industrial construction industry required – chemicals, petrochemicals, power and refineries.

  • Working knowledge and experience with Prolog is an excellent plus

Skills/Competencies

A specific knowledge of subcontracting activities typical to the engineering and construction industry is required. In addition, excellent written and oral communications skills, a working knowledge of PC software packages typically associated with subcontracting, and an ability to effectively negotiate subcontracts is also required.
