Jacobs International Payroll Project Manager (Subject Matter Expert) (M/W/X) in Krakow, Poland

As a Payroll Project Manager, you will serve as a Subject Matter Expert and be responsible for evaluating the efficiency of established processes, developing and facilitating Continuous Improvement initiatives, troubleshooting and improving new processes and leading and/or delivering consulting solutions for projects and/or clients.

In this role you will be closely cooperating with wide range of partners, vendors and stakeholders including Payroll, Accounting, Finance, Tax and HR. You may also be required to maintain process documents up-to- date and conduct quality/compliance audits.

Responsibilities:

  • Identify, support, and lead departmental Continuous Improvement & growth initiatives from Payroll process perspective, such as:

  • Improvements that reduce processing time, increase productivity, and improve service levels,

  • Project work including M&A and work migration, as well as the specific administration activities associated with the delivery of payroll services,

  • Change management activities and collaboration with various stakeholders for items related to payroll including but not limited to training, communications, and support.

  • Support and provide direction on payroll process, system’s setup, maintenance, upgrades, and enhancements.

  • Monitor SLA, cases’ queue, cases aging, escalation, issues, changes and quality of cases performed by the payroll team.

  • Ensure appropriate metrics are in place to measure and manage service levels, business risks and improve decision making.

  • Plan, prepare, and circulate Payroll-related information to Primary Care (tier 1 HR support team) to reduce cases requiring Payroll support.

  • Partner with stakeholders to resolve operational issues; coordinate critical issues when they occur.

  • Manage Online Content

  • Develop online Payroll content strategy that anticipates questions and enables interpretation of pay and taxes,

  • Create, update and retire online information and contribute to its improvement (Payroll access, quality of content, etc.),

  • Drive continuous improvement of Payroll related self-service tools (Sharepoint, payslips, portals, etc.).

  • Support and maintain departmental policies, practices, and procedures.

  • Support audits and SOX controls; identify issues and introduce remediating actions.

  • Provide operational support, review and approval of payroll files and payments if needed.

  • Perform other job-related duties as assigned or apparent.

Here’s what you’ll need :

  • Bachelor’s degree preferably in Finance, Accounting, Human Resources or Business Administration.

  • Minimum of 5 years of in-depth professional experience in international/GBS payroll processing function in similar role or other involving management experience

  • Demonstrated knowledge of relevant international payroll laws and regulations.

  • Strong ethics and ability to maintain a high level of confidentiality.

  • Excellent interpersonal skills, including strong execution, and timely and thorough follow-through.

  • Experience in transforming a payroll function that is primarily manual to one that is highly scalable and efficient.

  • Ability to work independently, prioritize workload, utilize a wide degree of creativity and latitude to accomplish goals, understand business implications of decisions, and complete projects with minimal supervision.

  • Ability to think through payroll processes and propose technological solutions to save time, improve controls and improve service quality.

  • Ability to handle multiple tasks/projects and meet deadlines in a fast-paced environment.

  • Strong analytical, diagnostic, and problem-solving skills. Attention to detail.

  • Excellent written and oral communication skills in both Polish and English including the ability to communicate clearly with all levels within the organization.

  • Excellent customer service focus.
