PRIMARY ROLE

  • Develops proposals and other marketing/sales documents using applicable tools, guidelines and templates.

  • Works to develop and implement opportunity response plans i.e. activities, deliverables, owners, milestones etc.

  • Collects company data or conducts internal/external research as appropriate for opportunity response documents and/or strategy development.

  • Develops and maintains sales qualification materials and supporting information in designated information management or filing systems.

  • Develops appropriate network within the company to facilitate identification and sharing of relevant information, best practices etc. between offices.

CORE DUTIES AND RESPONSIBILITIES

  • The core duties and responsibilities of the Marketing/Proposal Coordinator fall into four broad categories: Research and Analysis, Sales Material Development, Opportunity Response Co-ordination, and Knowledge Management.

  • Research and Analysis

  • Conducts client, competitor and market research as required in support of client and/or opportunity strategy development.

  • Collaborates with the designated core client sponsorship team to establish and populate dedicated core client information repositories (e.g. eRooms), and supports the development of documented client strategies and related information.

  • Sales Material Development

  • Prepares written and graphical elements of sales opportunity response documents such as proposals, qualifications and presentations.

  • Interacts with operations personnel to support development of sales material.

  • Proofs and edits technical and non-technical documents for consistency.

  • Opportunity Response Co-ordination

  • Works with designated response team members to develop opportunity response plans in alignment with our Relationship Based Sales (RBS) process.

  • Organizes and participates in response-related meetings (internal and/or client), as appropriate.

  • Leads review meetings

  • Coordinates production of response documents (printing, copying, binding, shipping).

  • Knowledge Management

  • Updates/maintains non-opportunity specific/additional sales qualification and reference materials (including résumés, project descriptions and organization charts) in designated information management systems

  • Ensures adherence to branding standards to present a consistent appearance/style in compliance with our corporate identity.

  • Coordinates with dedicated graphics personnel and outside print vendors as needed.

  • May provide graphics and desktop publishing support.

  • May provide assistance to sales management for the preparation of weekly/monthly sales reports.

  • Performs other duties as assigned.

Qualifications

  • Bachelor’s degree in Marketing, English, Journalism, or technical or related discipline from a four-year college or university. Similar working level obtained through relevant job experience may be accepted in lieu of degree level education.

  • Capability in Adobe Creative Cloud suite of products (specifically InDesign) and Microsoft Office suite.

  • Strong communication skills.
