About the opportunity:

We are seeking a qualified and driven Assistant Operations Manager, to join our team in Riyadh, Saudi Arabia. In this role you will be the direct support for both the Operations Manager and the Operational Sales Director to be the local point of contact between Jacobs Critical Missions Solutions and Jacobs People and Places Solutions.

With support from the wider operations team, you will act as a focal point and “go to” person for in Kingdom operational issues. You will work closely with our internal Jacobs team as well as interfacing with our clients’ functional teams.

This role is an excellent opportunity to work as part of a talented team and to learn about the running of a major business at an exciting time as we expand in the Middle East.

Responsibilities of this role include:

  • Weekly status meetings with Human Resources, Government Relations, and Jacobs Operations

  • POC/Bridge between client accounts/finance team and Jacobs client accounts/finance team

  • POC for translation of documents to and from English and Arabic

  • Ensuring company documents are up to date on a monthly basis

  • POC for obtaining all immigration documents for visa processing and liaising with PR team to obtain the necessary work permit

  • Liaising with other support functions such as IT, facilities, HSE etc. to ensure all set ups are in place before the candidate joins

  • Responsible for all new joiner mobilizations and on-boarding, this will include all administrative tasks associated with mobilizations/on-boarding, along with Support preparation of weekly new joiner reports and updates to the Hiring Managers and relevant business group leaders

  • Assistance with opening of local bank account

  • Responsible for Updating the Regional Onboarding templates

  • Assisting in accessing KSA government portals such as Etimad or CSTC including ability to visit bank offices to collect and deliver bonds.

  • Help with developing capability statements, presentations, and white papers.

  • Support sales processes and close-out procedures to comply with governance and audit requirements, across various gates and review stages.

  • Supports with client, competitor and market research as required in support of client and/or opportunity strategy development.

  • Promotes use of our proposal collaboration tool (SharePoint) and is responsible for managing its content.

  • Updates/maintains non-opportunity specific/additional sales qualification and reference materials (including résumés, project descriptions and organization charts) in designated information management systems

  • Assist sales management for the preparation of weekly/monthly sales reports.

  • Excellent verbal and written communication skills, including strong proficiency in English and Arabic.

  • Ability to speak in public and to client representatives.

  • Demonstrated professionalism, tact, diplomacy, discretion, and judgment.

  • Ability to function autonomously and in a team environment including working with remote global teams.

  • Ability to interface comfortably with associates at all levels of the organization.

  • Must be able to learn quickly, get along with others, and have strong follow-up skills.

  • Ability to multi-task and manage competing priorities and a diverse workload, while achieving results in a dynamic, deadline-driven environment.

  • Ability to problem-solve and generate creative solutions to onboarding challenges, while working effectively with providers, staff, and business partners.

  • Have a very strong customer focus.

  • Minimum 1 year of experience in a similar role.
