Role and Responsibilities

  • Support the document control process for change documentation using current systems available, i.e. Aconex

  • Take ownership of existing Change Register and keeping it up to date with Change Request, Change Authorisation Request, Instruction and Agreed Value of Instruction information

  • Act with professional and due diligence focus at all times to fully safe guard the interests of the project and company in all business activities

  • Responsible for high quality tracking and timely distribution of all incoming and outgoing correspondence, documents/ drawings, letters, memo, transmittals etc.

  • Monitor performance where change documents are not being progressed within agreed timescales. Provision of administrative support, where required.

  • Perform thorough quality checks of Contractor and Engineer submitted and received documents

  • Ensure timely transmission of Engineer comments on Contractor submitted documents

  • Provide technical support on EDMS usage to Construction Team. Support senior staff on routine and ad hoc project-wide assignments

  • Provide accurate Document Control reports to the Construction Team on weekly basis

  • Adhere to company and project Quality Management System & HSE policies and procedures.

  • Responsible for the storage of the active and archived documents to prevent damage and deterioration.

Here’s what you’ll need :

Key Skills Required

  • Seasoned experience in Document Controls and/or Document Management Systems

  • Hands on Working Knowledge of Electronic Document Management Systems (Aconex, Projectwise, Sharepoint and EPFM)

  • Strong IT skills in MS office including outlook, excel and word

  • Highly organized. Good attention to detail

  • The ability to multitask & excellent communication skills
